About the Role

Reporting to the leadership team, the Office Coordinator will be responsible for ensuring the smooth day-to-day running of our Sydney office while supporting employees, visitors, and key business functions.

You will be the go-to person for office administration, facilities coordination, staff support, and liaising with external service providers.

Key Responsibilities

Office & Facilities Management

  • Manage building and facilities-related requests with property management.
  • Coordinate office security passes, including ordering, allocating, and maintaining records.
  • Ensure office supplies are maintained, including stationery, kitchen consumables, and printer requirements.
  • Coordinate courier bookings and deliveries.
  • Manage incoming mail, distribute correspondence, and attend the post office as required.

Employee Support & Onboarding

  • Coordinate uniform orders for employees.
  • Assist with onboarding new team members, including desk setup, new starter packs, and coordinating laptop delivery.
  • Support employees with general office and workplace requirements.

IT Coordination

  • Act as the key liaison between staff and our external IT provider.
  • Coordinate laptop repairs, equipment issues, and general IT support requests.
  • Follow up on IT-related matters to ensure timely resolution.

Administration & Communication

  • Manage inbound calls and ensure messages received through the phone service are directed to the appropriate team members.
  • Monitor website enquiries and distribute requests to the relevant departments.
  • Maintain office records and administrative systems.
  • Provide general administrative support to the wider business as required.

Events & Team Engagement

  • Assist with the coordination of staff events, business planning sessions, strategy workshops, and other company functions.
  • Support the preparation and logistics associated with internal meetings and events.

About You

To be successful in this role, you will have:

  • Previous experience in an Office Coordinator, Office Administrator, Office Manager, Reception, or similar administrative role.
  • Excellent organisational skills and the ability to manage multiple priorities.
  • Strong communication and interpersonal skills.
  • A proactive, solutions-focused approach.
  • High attention to detail and strong time management skills.
  • Confidence working with external suppliers, contractors, and service providers.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
  • Experience within the construction, engineering, property, or professional services sector will be highly regarded.
